What a good safari itinerary includes

Every safari itinerary you send a client should answer, day by day, where they are, what they’re doing, where they sleep and what’s included. This template captures each of those:

  • Trip summary — title, dates, number of travellers, and total price
  • Day-by-day plan — date, location/park, and the day’s route
  • Accommodation — lodge or camp name, room type, and number of nights (bed-nights)
  • Activities — game drives, walks, transfers and any extras for the day
  • Meals — which meals are included that day (B/L/D)
  • Inclusions & exclusions — what the price covers, and what it doesn’t
  • Pricing — per-person and total, in KES or USD
  • Terms — deposit, balance due date, and cancellation policy

The day-by-day structure

Repeat this block for each day of the safari:

  • Day number and date
  • Location / national park or reserve
  • Morning: activity (e.g. game drive in the Maasai Mara)
  • Afternoon: activity or transfer
  • Accommodation: lodge/camp name — room type — nights
  • Meals included: Breakfast / Lunch / Dinner
  • Notes: distances, drive times, special requests

Before you send it

  • Pickup — exact date, time and place, and the driver or guide’s name and phone
  • Park & conservancy fees — included in the price, or payable on arrival (state which, per park)
