What a clear tour quote includes
A quote a client can say yes to shows exactly what they’re paying for. This template breaks it down:
- Header — your business, the client, quote date and validity
- Trip summary — title, dates, number of travellers
- Line items — each cost with quantity, unit price and line total
- Cost categories — accommodation, activities, transfers, meals, park/entry fees
- Your margin — added as a line or a percentage, kept clear
- Subtotal, taxes/fees, and grand total
- Per-person price and total price, in KES or USD
- Inclusions, exclusions and payment terms
The line-item structure
Repeat one row per cost so nothing is missed:
- Item description (e.g. Mara Serena — 2 nights, standard room)
- Category (accommodation / activity / transfer / meals / fees)
- Quantity (nights, people, or units)
- Unit price
- Line total
