Kenya tour operator software for safari operators

The Mara fee doubles on 1 July, and last season’s quote doesn’t know it.

Savanna Sync is tour operator software for safari operators and travel agencies in Kenya, and it is based in Nairobi. Build your Kenya packages once and quote each safari from them in KES or USD, with park fees as their own lines — KWS rates by park, and the Maasai Mara’s seasonal rate. Every lodge and camp booking sits on one calendar with double-booking prevention, bed-nights are tracked, and clients are invoiced by M-Pesa or card.

The Mara fee doubles on 1 July, and last season’s quote doesn’t know it.

  • Seasonal Mara fees

USD 100 per non-resident adult from January to June, USD 200 from July to December.

  • Two currencies per group

KWS and Narok County charge non-residents in USD and citizens and residents in KES.

  • Parks in different bands

Amboseli is USD 90 a day and Tsavo USD 80, so one circuit crosses two KWS rates.

  • Lodges get double-booked

Two parties into the same camp on the same night — caught far too late in the season.

What does Kenya tour operator software need to do?

Cost park fees that change by park, season and traveller category, in the currency they are set in, and keep the bookings behind them straight. Savanna Sync quotes safaris from reusable packages in KES or USD, puts every booking on one calendar with double-booking prevention, tracks bed-nights across your lodges and camps, and invoices by M-Pesa or card — one system from lead to payment.

How do I quote a Maasai Mara safari across the 1 July change?

Price each day at its own season. Narok County’s Finance Act sets the non-resident adult fee at USD 100 a day from 1 January to 30 June and USD 200 from 1 July to 31 December, so two adults on a three-day Mara safari pay USD 600 in May and USD 1,200 in August. Keep the Mara fee as its own line in your Kenya package, and the quote recomputes when the dates or group size change.

How do I handle KWS parks and mixed groups?

Give each park and each traveller category its own line. Legal Notice No. 160 of 2025 sets non-resident adults at USD 90 a day for Amboseli and Lake Nakuru and USD 80 for Nairobi and Tsavo, while East African citizens pay in shillings. Savanna Sync quotes in KES or USD, so a mixed group can be quoted in either, with the exchange rate you applied stated on the quote.

FAQ

Questions from Kenya operators

What should Kenya tour operator software do?

Quote safaris whose park fees change by park, season and traveller — the Maasai Mara’s non-resident rate doubles on 1 July — keep lodge and camp bookings from clashing, and get you paid. Savanna Sync does this with quotes from reusable packages, one booking calendar with double-booking prevention, bed-night tracking, and M-Pesa or card invoicing.

Can I quote and invoice in Kenyan shillings?

Yes. Savanna Sync quotes and invoices in KES or USD, and plans are priced in KES. Non-resident park fees are set in USD, so many Kenya safaris are quoted in USD; citizen and resident fees are set in KES.

Are Maasai Mara fees per day or per 24 hours?

Per day. The Narok County Finance Act, 2023 defines the park entry fee as covering entry from 6.00am to 6.00pm, whatever the time of entry. KWS fees work differently: a KWS daily fee is valid for up to 24 hours.

How do clients pay me through Savanna Sync?

By M-Pesa or card, invoiced from Savanna Sync and recorded against the booking. Those are the payment methods Savanna Sync supports, and quotes and invoices are in KES or USD — so check they fit how your clients pay during the 14-day free trial, which needs no credit card.

Which plan suits a Kenya operator?

Most safari operators start on Agency — KES 35,000 (about $270) a month for up to 10 users — with a 14-day free trial and no credit card. A one-person operation can start on Solo at KES 15,000 (about $115) a month, and larger operations book a demo for Pro. Plans are priced in KES, with a USD toggle on the pricing page.
